Resident Safety Support Forms: How a PCFRA Case Is Created

A PCFRA case is created when a resident (or a managing agent on their behalf) completes and submits the Vulnerable Person Form. There are two ways this can happen:

Option A : Resident Completes the Form via the Building Portal

The resident logs into their building portal and navigates to the Account section.

The resident can then indicate who in their household requires assistance in the event of a building evacuation.

1. Adding a Resident or Dependent

Before a form can be completed for another individual (such as a dependent or co-resident), that person must be added to the "People Represented" list. This section is located within account settings or the dedicated household topic.

  • To Add a Name: Select the [Add a person] button located beneath the existing list of names.

  • To Manage Names: If a correction is required or a resident moves out, the Rename or Delete buttons next to the name can be used at any time.

2. Completing or Editing Forms

The form contains three questions relating to the resident's evacuation needs. Before submitting, the resident must confirm they agree to the Data Use and Sharing Notice. Clicking OK submits the form and automatically creates a case in the PCFRA Management module.

Once submitted, the resident will receive an automatic email notification advising them that someone from the managing agent will be in touch to arrange a convenient time to complete the PCFRA checklist with them. It is important that the managing agent follows up promptly.

Option B: Managing Agent Completes the Form on Behalf of a Resident

Where a resident does not have a portal account and contacts the managing agent directly (e.g. by email), a managing agent can complete the form on their behalf. The following must be observed:

  • The managing agent must obtain written confirmation from the resident that they agree to the Data Use and Sharing Notice before completing the form.
  • There is an option on the form to indicate that it was completed by someone other than the resident — this must be selected in these circumstances.
