Missing schedules and expense types: where to look and what to check

Schedules and cost assignments are shown in various places on Dwellant as below:

  • Accounting Group Schedules
  • Requests
  • Assign Work Order
  • Accept Quotation
  • Edit Cost Assignments
  • Contracts
  • Add / Edit Contract
  • Edit Cost Assignments
  • Invoice Processing Application screen (aka IPA)

Searching / Filtering for a Schedule or Expense type

When typing in a Schedule name in an auto-complete field, you can use the @ character to also search the property name.

For example:-

Searching for: Block T @ Residential - will return - Block T Resi SC @ My Building Residential

But it will NOT return: Block T Resi SC @ My Building Commercial

Where to look for Schedules on Dwellant

If Invoice Handling is enabled, then at building level -

Setup / Accounting / Static Data for single cost assignment

Setup / Accounting / Accounting Group Schedules for Group schedules.

If you add a new Group Schedule, a tick appears in the 'Was defined originally in Dwellant?' column and these Cost Assignments may be edited.

Some checks for missing schedule and expense type:-

In the event that the schedules or expense types still don't appear while coding invoices or for creating work orders/contracts, please try the following checks-

1. Check the spreadsheet under Setup / Accounting / Static data. Download the schedules or expense types, and check whether your data exists in the report. If it does, re-upload this same spreadsheet and check if the fields now work.

2. Check Setup / Accounting / Controlled Properties and make sure the building is synced. Select the edit action, and check which building the data is going to. It's possible to have multiple versions of the same property on the system as agencies may setup the same property twice for the purpose of charging ground rent or heating costs.
