Dwellant provides a hybrid Communication system called eCommunications for owners and subtenants.
What is eCommunications?
The objective is to use electronic communication to replace as much printed and posted communication as possible while still considering the legal and statutory requirements to send hard copy letters in some situations.
Not only does this mean sending emails, but also providing a library of documents for the Owner/Tenant so they have no real need to file and organise documents – because they will always have them to hand.
As well as electronic delivery we are able to use a clever interface to deliver those documents that need to be printed to a printing and mailing facility.
There are many benefits:
- Cost, and time to produce. Conventional printed and postal material is expensive and labour intensive.
- Recorded delivery – far better evidence of delivery of emails and record sending of post
- Save the planet by avoiding print as much as possible
- Provide clear records that all staff can investigate
Most accounting packages have had the capability to send documents and store an email preference for years. But this does not really provide the most efficient model to avoid print. There are documents:
- That you can by default electronically (but users can opt for paper) e.g. Demands
- That you have to deliver on paper (unless the user opts for email) e.g. Section 20 Summary
The 2 preferences are available to end users through the eCommunications preferences page called:
- Demands & General Communication
- Financial & Statutory
User are encouraged to set everything to electronic delivery.
By providing a great App experience, and online facilities the target will be to move all document online and save many costs.
Where can you use eCommunications?:
Sending invitations to new residents/new buildings
Sending Demands and other documents generated by your accounting package
Using the Posting facilities
When Fire Door Surveys are conducted
There is also a facility for creating “Manual Batches” but this is made redundant by the Posting facilities.
