For your company to perform tighter controls on the contractors that are being used a contractor manager is needed to monitor new contractors being setup and manage existing ones.
As a contractor manager, your responsibilities are:
- Checking the details of new contractors, making sure they are named correctly
- Avoiding duplicates, by checking the existing contractors
- Adding approving new contractors for your managing agent to use
- Ensuring that they have the correct documentation
- Performing the correct checks to prevent fraud
When this process is complete its important to change the contractor’s status to approved so property managers can instruct a work order or quotations.
As you are the contractor manager setting up a new contractor will mean they are approved automatically. To add a contractor, go to the contractor list and click add contractor. The following form will be displayed to fill in. In the "Contractor Company name you can search those already held in Dwellant.
When you think you have a match add a name and we will share key data. If in doubt, create a second account.
Contractor company Name – Try and find the contractor on our current database (try any name variants to avoid creating duplicate companies)
Account Reference – Only needed for invoicing, enter the reference from you accounting system. It’s important for paying the invoices
Primary contact email – this is where the invite will go to join Dwellant
Services provided – Please type the first few letters of the service and pick from our list. For many services, it may be easier to type “general” then select “general cleaning” “general maintenance” etc.
Address – try to make this accurate as some filters use it for proximity from building
Add Files - upload a document that proofs that the contractor exist
Once you click ok the contractor is created and approved. If you still need some time to chase documentation you can change the status by searching for their record and select action / details will allow you to change their approval status.
