Configuration of Dwellant COMPLIANCE

Configuration - Managing Agent Level

There are key steps to ensure Dwellant COMPLIANCE. These three steps must be completed before you start the building set-up. We recommend at least a day’s time be assigned to setting up the PME and Contracts template. You can book a set-up planning call here.

Enhanced COMPLIANCE PME template

This step requires a senior leader to review and update the template for setting up the COMPLIANCE PME template.

Detailed guide is here - open PME guide

Key data points to check: asset type, document type

This template will be used across all buildings

New COMPLIANCE Contracts template

This template will standardise the description and Asset type.

Detail guide is here - open Contracts guide.

This template will be used across all buildings.

C-Site with Asset Register

This is the most complex part of Dwellant; we will assign you an implementation specialist to help you check the survey layout and Assets.

We strongly recommend you wait for our assistance to set this up. If you’d like to read up on the setup, the guide is here. Learn more about C-site setup.

Note: The above steps should be completed before you start setting up sites at scale. We recommend getting one site set up fully so you can see a completed site.

Configuration - Building Level

There are two ways to look at setting Dwellant COMPLIANCE at the building level.

You can either have:

  • A central team setting up each site (the PM’s will have a small step to complete).
  • Delegate setup fully to the PM’s on each site.

Either way, you will need to complete the following tasks.

Blocks Setup

Description: Confirm relevant information for each building such as relevancy, logic, height, and management company or RMC.

Estimated Effort Time: 5 minutes per building.

Project Duration: 5 minutes multiplied by the number of buildings.

Rationale: Helps Dwellant Core identify relevant buildings.

Measure of Success: Successful block setup for each building.

Guide: Setting up blocks

Optional Dwellant Support: Available at £200 per half-day.

Repeated Events

Description: Manage building-related events occurring periodically.

Estimated Effort Time: Approximately 30 minutes per building (depending on event knowledge).

Project Duration: 30 minutes multiplied by the number of buildings.

Rationale: Improves efficiency and ensures compliance with digital audit records.

Instructions: Set up planned preventive maintenance (PPM) and link to system tests.

Measure of Success: Approximately 11 events set up per site.

Guide: Adding a batch of events

Optional Dwellant Support: Available at £300 per half-day.

Contracts

Description: Manage recurring invoices and set up auto-approval criteria.

Estimated Effort Time: 5 minutes per contract (using spreadsheet for efficiency).

Project Duration: 30 minutes multiplied by the number of buildings.

Rationale: Ensures accurate asset spending management and charges application.

Instructions: Create contracts (ensuring templates are used) and manage them through the system.

Measure of Success: Approximately 8 Contracts set up per site.

Guide: Uploading Contracts

Optional Dwellant Support: Available at £300 per half-day.

Csite Setup

Description: Utilise Csite to set up assets for each building.

Estimated Effort Time: 1 hour 30 minutes per site (depending on size).

Project Duration: 1 hour 30 minutes multiplied by the number of buildings.

Rationale: Enhances efficiency and compliance by creating digital audit records.

Measure of Success: Each building has a C-Site asset structure

Guide: Setting up C-Site to survey a block

Optional Dwellant Support: Available at £400 per half-day. (Possible if you have an Asset Register from a previous system)

This guide provides a structured approach to implementing various features in Dwellant, ensuring efficiency, compliance, and successful utilisation of the platform.

Each task is outlined with its respective details to facilitate smooth execution by the project team.
