How to upload and annotate invoices (new Contractor UI)
- Login to the Contractor portal
- From left sidebar menu, go to Invoices > Upload and Send as shown below -
3. Please read all the instructions carefully on this screen. They are as follows-
- Create invoices in PDF format
- Include only one Work Order/Job per invoice to simplify handling
- Prepare invoices for long-term Contracts by including the Contract Number in square brackets in the filename e.g. "Invoice ABC123 [c34234].pdf"
-
Prepare invoices for one-off Work Requests by including the Work Request Number in square brackets in the filename e.g. "Invoice DEF987 [95853].pdf"
After reading all the instructions, click on the box which says 'Drag files or folders to this panel or click to browse your files'. Note that the valid extension is '.pdf' for the invoices and it will accept up to 50 files only in one go.
- Once uploading is complete, you will be presented with a screen where you can annotate your invoices as below -
- On annotate your invoice page you can select each file uploaded and fill in required details for the invoice on opened dialog. Any star marked fields are mandatory.
- Note that the Dwellant Work Reference is a drop-down. Start typing the work order id or contract number and wait for the option to show up from the drop-down as it may sometimes take a moment.
- Note that if you don't have a Dwellant work reference number, its better to get it confirmed from your client for faster processing. Alternatively you can proceed with selecting 'I definitely DO NOT have a Dwellant Work Order or Contract for the job' option. This option will take longer to process. Follow along by choosing the client name from the drop down and the rest of the mandatory fields.
- On this dialog you can create the invoice with or without work order/contract by filling in relevant details
- If you have more than one invoice, leave the checkbox 'is this the only/final invoice for this work?' unticked and click on Next to add more invoices for the given job.
In case you have anymore supporting document to upload with respect to the uploaded invoice, click on 'Add additional invoice document' panel box below to do so.
-
Finally, click SAVE button to save the annotated invoice/s
Once completed correctly, you will find your submitted invoice under ALL INVOICES tab on the Invoices / Invoice list screen under status 'Awaiting approval'.
- Click here to sign up for our AI Invoice reading which will match as many invoices as possible and fill out all the information for a small annual charge!
