The external tenant ID is like the key between the accounting system of a Managing agent, and the Dwellant system. Its used to match the details held for a leaseholder between the two systems, to accordingly update the financial details such as service charge payments, account history, current charges, etc., for a leaseholder, for the view of the leaseholder under their Finances.
On Dwellant portal, the external tenant ID for a resident user can be viewed under SELECT ACTION/User details, under User data/users section at the building level. If for some reason the ID is not updated or is blank, it could result to errors such as shown in below screenshot, when a leaseholder tries to view their current charges or accounting history -
In such case, an admin user or accounts team or the property manager team would need to update the external tenant ID for the given user. They can do so by following below steps-
- Go to User data / Users at Building level (p.s. -to view the user list option, you will need to be in Administrators user group)
- Click on button - Download all users
- Delete all rows from the downloaded spreadsheet except the user you need to update the tenant ID for.
- Add the external tenant reference ID from your accounting package in the 'ExternalTenantID' column: R in the spreadsheet.
- Save the document, and make sure no other user entry is present in the spreadsheet except the user we are updating the tenant id for.
- Upload this updated spreadsheet file through the Upload users button on the User data/Users screen (same screen as in STEP 1). This will upload the updated spreadsheet.
- Wait for the upload to be completed (you can check the status of the uploaded file under Requests/request for you to Action).
Once the file upload is completed and is successful, it should pull in the accounting details from the accounting system. To check back, go on the User data/users screen, and search by given user and click filter, and click on SELECT ACTION/User details, the external tenant ID field should now reflect the updated value.
