If you wish for a building to be disabled from Dwellant, you will need to raise a 'disable building request' at the building level.
The request creator fills out a disable building form when they want a building disabled on Dwellant.
This allows you as the request creator, to request us to disable a building from the system. Clicking on the 'Disable' button will generate a form, and filling this form out will create a request for the Customer Service to action.
Steps-
To create a Disable building request, please go to Setup/Organization Preferences at the building level, and click on the 'DISABLE' button in red to create a disable request for the given building.
It looks like below:
Setup / Organization preferences
Once you click on the 'Disable' button, below form window will show up. All the topics listed in the form below needs to be actioned first and confirmed.
You will need to select one of the 3 options for the Disable building request, as shown below. Without this information, the request will not be actioned.
The request creator will need to make sure the building is ready to be disabled, by confirming ALL the below conditions are fulfilled. If any of the below is pending, the request will not be actioned.
1. Making sure all requests have been closed, along with quotations or work orders. You can check this under Requests & Messages > Active BUILDING NAME Request
2. Make sure all invoices relating to the building have been dealt with. You can check this under Invoices > Invoice List. Then click the Search Filter Tab > Set the assignee to Anyone > Click Filter.
3. Make sure all the contracts are dealt with. You can check this by clicking on the Contracts tab, and hit filter, it shouldn't return any contracts or live contracts.
4. Make sure there are no users on the building. To check this Navigate to Setup > Users on old UI, and Building data> users on new UI (with sidebar layout).
5. All Repeated Events/Planned Maintenance Events have been removed. To check this navigate to Setup > Core Data > Repeated Events on old UI, or Compliance > Planned Maintenance Events on the new UI.
6. Make sure the building is un-synced from your accounting package (if you have one). To check this, navigate to Setup > Accounting > Controlled Properties at the Managing agent level, and type in the building name in 'Property name' field and hit filter. Make sure to toggle the field 'Data synchronization enabled' to NO, and hit filter, it should return 'No results'. Do the same for the field 'Active Properties' - -set it to NO (and set 'Data Sync enabled' to '-No selection yet-' value), as shown below for a sample building-
As part of the disable process, if you wish for the residents to lose access to the building instantly just after you raise the request, you can UNTICK the tickboxes 'Posting messages enabled' and 'Invitations enabled' yourselves on the path - Setup/organization Preferences at building level.
Please note that when those two boxes are unticked, anybody setup as residents/owners/tenants, etc can no longer log into the building, and will not be reminded about the requests or tasks. If not done already by yourselves, customer service team will do it for you once they verify all the checks and proceed to action the request.
