RAMS (risk assessments and method statements): what contractors must provide
RAMS - Risk Assessment and Method Statements
There is now an expectation on us to consider CDM regulations set out by HSE when instructing contractors.
We have made it easier for our Property Managers to record that contractors have the appropriate skills, knowledge and experience and, where relevant the capability to carry out work safely.
To keep your team safe we have added in the option for those instructing you to state the potential risks involved in carrying out a job. We have kept this as simple as we can.
When contractors receive a Quotation or Work Order from Managing agent clients, they’ll need to check if RAMS are required. If not, contractors can carry on as normal. If they are, contractors MUST submit these documents for approval before they can get the final GO ahead.
RAMS Document Library
Contractor account / Setup / RAMS Document Library
Standard RAMS documents can be kept in the library to use on multiple requests / contracts.
Documents of PDF and Microsoft Word type can be uploaded. A description for each document is required. Each file name has to be unique.
Documents can also be added to the library when uploading new documents to requests and contracts.
Adding RAMS
Each document the Property Manager has requested is listed. The contractor must provide one document for each.
The Add File button opens the Add RAMS Document form. Here they can select a document from their library - in which case the rest of the form is hidden and they simply click OK. Or they can upload a new file. If they want to be able to use the document again they can choose to add it to their library, and they must provide a description.
The contractor can change the RAMS document up until the point it has been approved. Click on the file name to open the form again.
Documents added that are from the library are added as a copy. So if the document is deleted or changed in the library this will make no change to the requests or contracts they have been used on.
Work Orders and Quotations
For Work Orders the contractor provides RAMS documents via the RAMS tab. For quotations they can also do this via the Edit Quotation form, and it is best if they do.
Once the documents are provided the Request will change state and PMs will be notified.
Contracts
Once the documents are provided the PMs will be notified.
