Accounting contractors (prefix 'u') and Dwellant contractors (prefix 'a')
Contractors that are imported from a Managing Agent client's accounting system are called Accounting contractors. These are needed so that invoices can be associated with contractors that are not registered on Dwellant.
When a contractor is added to Dwellant, if the External Reference Number matches an accounting contractor, then the accounting contractor record is deleted as it is not needed any more. Any invoices using the accounting contractor id are updated with the Dwellant contractor id.
The contractor list for invoices shows Dwellant contractors and accounting contractors mixed together. Dwellant contractor id's are pre-fixed with an "a" (For Approved) eg. [a10348]. Accounting contractor id's are pre-fixed with a "u" (for Unapproved) eg. [u11406]. Where a contractor is listed twice, one of each type, this means that the Dwellant contractor does not have the External Reference Number set. Property Managers are Trained to look for "a" approved contractors.
You can find contractors with missing external id using the custom report "Missing Contractor External IDs".
To add the contractor correctly, take the reference number in the brackets e.g. ELECT010 and place it within the External Reference Number field when adding a contractor, or edit the existing contractor. (Setup > Contractors > Contractor List)
