Adding a posting
On your building’s homepage, you should see a button or link that says ‘Add Posting’. Clicking here will open a window with some details to fill out. Adding a posting is like writing an email, you will need to add a subject, some content and choose your recipients.
Postings must be added to a specific ‘Topic’. Think of a Topic as a file in a filing cabinet. Where is it most sensible to add some information so that it can be found again later? If you wish to change the names or add topics, please contact Dwellant.
To add a posting, go to Content / Postings / All Postings. Click the ‘Add Posting’ button, and then complete as follows:
- Choose a topic for your Posting
- Enter a subject
- Enter the content of your message.
- Choose the recipients of your posting
You can navigate through the topics/pages on the left side to choose where to add your posting or you can select 'Add Posting' and manually type the name of the topic you would like the post to appear under. This is the section on the website the post will be displayed under.
Note: You cannot create a posting in a topic with the following settings (visible in Setup > Topics at building level):
-
If the topic has subtopics or child topics
-
If the type of content is one of Archive, Banner Tile, Linked Service, Menu Item or Tile
-
If the type of content is one of Custom URL, Directory Grid View, Named Topic or Single Thread by Shortcode
The above configuration on any topic will make any postings non navigable by end users. This is why there are restrictions on adding posts or updating posts.
All fields in detail -
Topic – The name of the page/topic you would like the post to display.
Subject – Name of post
Enable Formatting – You can tick this box to add more formatting e.g. bold, italic, colours etc.
Content – Content of post
Organisation Recipients – You now have two groups you can filter when deciding your audience
You can select a Block + Group
For example if you click - Block A + Owners, it will only go to owners within Block A (previously it would have gone to Block A and All Owners) as shown in below image -
Options/Attachments – You can click this option to open your files on your computer to attach a file if necessary.
You must fill out all the required fields before changing the posting's settings. At least one organisation recipient group must be selected. It needs to be:
- A group you are in (All Members is the easiest)
- Equal to or subset of the groups picked for the topic
Change Options – This will have further settings for the post. By clicking on this, it will take you to a second page.
Set Importance of a Posting
The importance of a posting can change how soon the end users will receive an email and optionally a SMS message.
If you do not wish to send out an email notification select the tick box ‘Exclude from news update email:'
Types of posting importance -
Normal - Send emails as often as the user has set up in their email notification settings.
Important - Send emails out the next morning.
Immediately - Send emails immediately.
-
When this option is selected the following fields appear:
-
Send Sms for immediate post (appears unless push notifications are enabled for this organisation)
-
Send push notification (only appears if the organisation is related to a project that appears in this list:
Core data > Push notification projects) -
Mark as urgent
-
Start and End Dates are related to the 'Forthcoming Dates' on the homepage. This does NOT correspond when the post is live or emailed.
Posting audience settings:-
When configuring posts, we have several 'block level' group types i.e. if one of these group types is selected, then at least one block must also be selected. These type are:
Owners
Tenants
Residents
Landlords
Custom
For users in one of the groups above, a post is only visible if the user is in the group AND at least one of the selected blocks.
For ALL other group types, the user does not have to be linked to any of the selected blocks.
Immediate Postings
When a posting is created, its importance can be set to Immediate so that the recipients will be notified immediately. (Note: If the user adding the post is moderated, the messages are sent when the post is approved.)
When Immediate is selected, a warning is given that recipients will be emailed. An additional checkbox can be selected to also send the message via sms.
If the posting is created in the Template building, recipients in all buildings will be messaged. Note that the template building has to have messages enabled.
Users who have never signed-in are not messaged.
Edited posts will not be sent out as immediate. Immediate posts are not included in newsletter emails.
Attachments
Postings can have attachments which are often images, but could be any file type permitted by the upload feature when creating or editing a posting:
Valid suffixes: pdf|doc|docx|png|jpg|jpeg|gif|xls|xlsx|csv|txt|mp3|mp4|msg|mov
Image resizing
<img src="kittens.jpg" alt="Kittens playing with some yarn" style="display: block; max-width: 100%"/>
<img src="Front Desk Manager.jpg" style="width: 200px"/>
Additionally, if you have images in your posting, you will likely want to resize them to display nicely in the posting. Use the style attribute in the example above to the right. max-width 100% ensures the image will never be wider than the posting. If this is still too large for your posting, add 'width: 200px;' to the style attribute and change the value to your preference.
Troubleshooting most common question:-
Q. The concierge created a posting but its not visible to end users?
Ans- Check if the Concierge user is in the Moderated Members user group. Any user in this group will have their postings and comments moderated by the building administrator.
When a user in the moderated members group adds anything on the website, a request will be generated and assigned to the administrators of the building to approve or reject the content. The content will NOT be posted on the website and be visible to non-admin users before it has been approved.
Q. How to approve a posting approval request?
As a building administrator, go to REQUEST from left sidebar and filter for requests of the type "posting" at building level, to see all the unapproved posting approval requests created by Moderated members. Review the content and choose relevant option.
After approval, all postings raised while a user were in Moderated Members still require approval. They would need to go back and approve their awaiting postings to publish them.
